What goes on a towing receipt

Nearly every tow is paid at the roadside or at the yard, and the receipt frequently goes to somebody who was not there — an insurer, a motor club, a fleet manager. That second reader is who it has to make sense to.

  • The date and the time of the tow, not just the date paid
  • The vehicle, by make, model and plate
  • Where it was collected from and where it was delivered
  • The reason for the tow — breakdown, accident, recovery, repossession
  • The charges broken out: hook-up, mileage, winching, after-hours, storage
  • Who authorized it, where that is not the person paying
  • How it was paid, and whether anything is still owed

The sample line items and example prices this sheet opens with are on the towing invoice template — the same table, which is about the trade rather than about this paper, so it lives in one place rather than on all six.

What you get

A towing receipt template filled in and ready to send: hook-up fee, mileage (mi) and after-hours each on their own line, with the tax and the total worked out underneath.
What a towing receipt looks like when it is finished. Your business name, your logo and your own prices go in place of these.

A PDF, and a link your customer can open in any browser. Word and Excel versions are not available yet — if a spreadsheet is what you need, this is not yet the tool for it, and saying so is cheaper for both of us than you finding out after typing everything in.

Pick how it looks

Six looks, from a plain classic sheet through a bold top band to a shop ticket, and your initials go on automatically until you upload a logo. See all six.

How to send it

Most customers want the paper on their phone, so the receipt goes out by WhatsApp, text or email, or as a link that needs no app and no account on their side. Or download the PDF to print it or keep it for your own records.

Questions

Why does the time matter on a towing receipt?

Because the after-hours rate depends on it, and because an insurer reconstructing an incident will want it. A receipt with a date and no time is the one that gets queried when an overnight charge appears, and the time is free to write down while you are standing there.

What if the motor club is paying rather than the driver?

Receipt the driver anyway, and note who is being billed. The driver needs proof their vehicle was moved and by whom regardless of who settles it, and a driver with no paperwork is the one who rings the club to complain about a tow they cannot evidence.
