What goes on a mechanic service agreement
Fleet work is why a shop writes service agreements at all. One van invoiced every six weeks is forty invoices a year and forty chances to be paid late; the same work on a monthly agreement is twelve. What the agreement has to settle is not the price of a brake job but how a vehicle gets into the bay and how fast it comes out again.
- The vehicles covered, by plate, and how one is added or taken off
- What a scheduled service includes, and at what mileage or interval
- The labor rate for work outside the schedule, fixed for the term
- Turnaround: how quickly a vehicle off the road gets looked at
- Whether collection, delivery or a courtesy vehicle is included
- How it is billed — per vehicle per month, or monthly in arrears
- The term, how it renews, and the notice either side gives
The sample line items and example prices this sheet opens with are on the mechanic invoice template — the same table, which is about the trade rather than about this paper, so it lives in one place rather than on all six.
What you get

A PDF, and a link your customer can open in any browser. Word and Excel versions are not available yet — if a spreadsheet is what you need, this is not yet the tool for it, and saying so is cheaper for both of us than you finding out after typing everything in.
Pick how it looks
Six looks, from a plain classic sheet through a bold top band to a shop ticket, and your initials go on automatically until you upload a logo. See all six.
How to send it
Most customers want the paper on their phone, so the service agreement goes out by WhatsApp, text or email, or as a link that needs no app and no account on their side. Or download the PDF to print it or keep it for your own records.
Questions
What should a fleet agreement actually fix?
The labor rate and the turnaround, in that order. Parts move and every fleet manager knows it, so a rate that holds for the term is the thing they are buying. The second is downtime: a van off the road costs them more than the repair, which is why a promised response time is worth more to them than a discount.
How do I handle vehicles joining and leaving?
Say it on the agreement — a list by plate, and a line that vehicles can be added or removed on notice, billed pro rata. Fleets change constantly, and an agreement that has to be rewritten every time a van is sold is one nobody renews.
