What goes on a pest control invoice

Pest control is sold as a plan more often than a visit, so the invoice has to say where in the plan this visit sits. It is also regulated work in many states, which puts the treatment and the product on the paper.

  • The plan, and which visit this is — initial, quarterly, follow-up
  • The treatment carried out, and where on the property
  • The product used, where your state requires it on the paperwork
  • Inspections, which price separately from treatment
  • Devices — bait stations, traps, monitors — by quantity
  • The next scheduled visit, so the customer knows what is coming

Sample line items and example prices

These are the sample lines and example prices this invoice opens with. They are starting points, not a survey of what anybody charges and not a recommendation — adjust every item to match your work, your rates and your customer before you create the PDF.

Sample pest control invoice line items, with the price each one opens at
JobUsual quantityOpens at
General treatment1$129.00
Termite inspection1$95.00
Rodent bait stations4$25.00
Wasp nest removal1$85.00

Add, delete or rename any line. The math, the tax and any discount are worked out as you type. Setting the terms? The invoice due date calculator turns Net 15, 30 or 60 into the exact date to put on the invoice.

Free pest control invoice template

Free means the whole thing: no sign-up to start, no watermark on the PDF, no limit on how many pest control invoices you make, and no card asked for at any point. An account is optional, and only does one job — keeping your papers in step between a phone and a computer.

Editable pest control invoice template

It opens with 4 jobs a pest control business usually bills — general treatment, termite inspection, rodent bait stations — already priced, so most of the typing is done. Every line can be renamed, repriced or deleted, new ones added, and the subtotal, tax and any discount recalculate as you type.

Printable pest control invoice template

Print it straight from the browser and only the invoice prints — no menus, no buttons — on whatever paper your printer holds. Or save it as a PDF to email, text or keep, and the customer’s copy is the same sheet you saw on screen.

Custom pest control invoice template

Your business name, phone and address go at the top, with your logo if you upload one or your initials if you do not. Six looks to choose from, 5 accent colors, and your own payment terms in the footer — a pest control invoice that looks like it came from your business, not from a website.

Every pest control paper, as it comes out

The same jobs and the same look carry across all six papers, so one pest control job can move from estimate to invoice to receipt without retyping.

What you get

A pest control invoice filled in and ready to send: general treatment, termite inspection and rodent bait stations each on their own line, with the tax and the total worked out underneath.
What a pest control invoice looks like when it is finished. Your business name, your logo and your own prices go in place of these.

A PDF, and a link your customer can open in any browser. Word and Excel versions are not available yet — if a spreadsheet is what you need, this is not yet the tool for it, and saying so is cheaper for both of us than you finding out after typing everything in.

Pick how it looks

Six looks, from a plain classic sheet through a bold top band to a shop ticket, and your initials go on automatically until you upload a logo. See all six.

How to send it

Most customers want the paper on their phone, so the invoice goes out by WhatsApp, text or email, or as a link that needs no app and no account on their side. Or download the PDF to print it or keep it for your own records.

Questions

Does the product have to be on the invoice?

Several states require the product and the rate applied to be recorded and given to the customer. Check what yours asks for, and if it does, put it on the invoice rather than a separate slip that gets lost.

How do I invoice a quarterly plan?

One invoice per visit, each naming which visit of the plan it is. The customer can see what they have had and what is left without calling you.

How do I bill a plan the customer wants to cancel halfway through?

Settle it at the start: say in the agreement whether the initial treatment is discounted on the condition the plan runs its term. A cheaper first visit that quietly assumed four more is the argument worth avoiding.

How do I show the initial pest treatment and the recurring service price on the first invoice?

Bill the initial service as its own line — "Initial treatment, interior and exterior, general pests" — and state the recurring rate and schedule underneath: "Quarterly service thereafter at [rate], next visit in June." The initial visit usually costs more because it treats an established problem; showing both numbers on the first invoice stops a customer reading the lower recurring price as a discount they were promised up front.

How do I invoice a free re-service call under a pest guarantee?

Issue a zero-dollar invoice or service ticket anyway: "Re-service under quarterly plan — no charge," with the date, the pest reported, the areas treated and the product used. It is the record that your guarantee is being honored, and the paperwork your state may expect for any application. If the call was outside the guarantee — a pest the plan excludes — price it as a normal service and say why.

What paperwork goes with a termite inspection for a home sale?

Usually a wood-destroying insect report on the form your state or the lender asks for — the NPMA-33 is widely used, but some states require their own form. Invoice the inspection to whoever ordered it, often the buyer or their agent, with the property address and report number, and quote any treatment separately. Check your state pest control regulator for who may sign the report and how long copies have to be kept.

Whose license number goes on a pest control invoice — the company’s or the technician’s?

In many states it is both: the business license or registration number, and the certification or applicator number of the person who made the application, with their name. Requirements are set by your state’s pesticide regulatory agency, often the department of agriculture, so check what it asks for. Put the company number in your business details and add the technician on each service ticket.

How do I bill a termite bond renewal each year?

As its own annual invoice, separate from the original treatment: "Termite warranty renewal, [dates], includes annual inspection." Say what the renewal covers — retreatment only, or repair of new damage — and the treatment it is tied to. Send it before the expiration date, because a bond that lapses usually needs a new inspection or treatment to reinstate, and the customer should hear that on the invoice, not afterward.

Should I bill bed bug treatment per apartment or per room?

Per unit is common for apartments, priced by size, with adjoining units inspected as a separate line, since bed bugs move through walls. Name the method — heat, chemical, or both — the number of follow-up visits included, and the prep the occupant needs to finish before you arrive. Who pays, the landlord or the tenant, is set by local housing rules in many places, so check before you send the invoice.
