What goes on an HVAC invoice

An HVAC invoice is usually written at the end of a visit that began as a diagnostic. The customer wants three things in order: what was wrong, what it cost to find out, and what the fix was.

  • The diagnostic or service call fee
  • What the fault was, in plain words, not just the part replaced
  • Refrigerant by the pound, with the quantity shown
  • Parts — capacitor, contactor, motor, coil — each on its own line
  • Labor as hours × rate
  • The unit: make, model and serial, for any warranty claim

Sample line items and example prices

These are the sample lines and example prices this invoice opens with. They are starting points, not a survey of what anybody charges and not a recommendation — adjust every item to match your work, your rates and your customer before you create the PDF.

Sample HVAC invoice line items, with the price each one opens at
JobUsual quantityOpens at
Diagnostic1$89.00
Refrigerant (lb)3$85.00
Capacitor1$120.00
Labor (hours)1.5$110.00

Add, delete or rename any line. The math, the tax and any discount are worked out as you type. Setting the terms? The invoice due date calculator turns Net 15, 30 or 60 into the exact date to put on the invoice.

Equipment, diagnostics and refrigerant

An HVAC invoice should identify the equipment — make, model and serial — because the serial is what a warranty claim and the next technician both match against. The diagnostic charge goes on its own line; refrigerant is billed by type and amount where you add it, both because customers ask and because some jurisdictions require the quantity to be recorded.

Maintenance and repair, told apart

Keep a maintenance visit and a repair distinct on the paper even when they happened on the same call. A seasonal tune-up is a predictable, sellable line; the capacitor you replaced while you were there is a repair, and a customer on a maintenance plan needs to see which part the plan covered and which it did not.

One HVAC invoice template: free, editable, printable and yours

Free HVAC invoice template

Free means the whole thing: no sign-up to start, no watermark on the PDF, no limit on how many HVAC invoices you make, and no card asked for at any point. An account is optional, and only does one job — keeping your papers in step between a phone and a computer.

Editable HVAC invoice template

It opens with 4 jobs an HVAC business usually bills — diagnostic, refrigerant (lb), capacitor — already priced, so most of the typing is done. Every line can be renamed, repriced or deleted, new ones added, and the subtotal, tax and any discount recalculate as you type.

Printable HVAC invoice template

Print it straight from the browser and only the invoice prints — no menus, no buttons — on whatever paper your printer holds. Or save it as a PDF to email, text or keep, and the customer’s copy is the same sheet you saw on screen.

Custom HVAC invoice template

Your business name, phone and address go at the top, with your logo if you upload one or your initials if you do not. Six looks to choose from, 5 accent colors, and your own payment terms in the footer — a HVAC invoice that looks like it came from your business, not from a website.

Every HVAC paper, as it comes out

The same jobs and the same look carry across all six papers, so one HVAC job can move from estimate to invoice to receipt without retyping.

What you get

An HVAC invoice filled in and ready to send: diagnostic, refrigerant (lb) and capacitor each on their own line, with the tax and the total worked out underneath.
What an HVAC invoice looks like when it is finished. Your business name, your logo and your own prices go in place of these.

A PDF, and a link your customer can open in any browser. Word and Excel versions are not available yet — if a spreadsheet is what you need, this is not yet the tool for it, and saying so is cheaper for both of us than you finding out after typing everything in.

Pick how it looks

Six looks, from a plain classic sheet through a bold top band to a shop ticket, and your initials go on automatically until you upload a logo. See all six.

How to send it

Most customers want the paper on their phone, so the invoice goes out by WhatsApp, text or email, or as a link that needs no app and no account on their side. Or download the PDF to print it or keep it for your own records.

Questions

How should I bill refrigerant?

By the pound, as its own line, with the quantity visible. It is the line customers query most often, and a quantity × rate line answers the question before it is asked.

The part is under warranty but the labor is not. How do I show that?

Put the part on at zero, marked as warranty, and bill the labor normally. Showing it at $0 rather than leaving it off tells the customer exactly what they did not pay for.

Can I charge the diagnostic if the customer declines the repair?

Yes, and that is what it is for — you spent the time either way. Say the fee on the phone before you drive out and whether it comes off the bill if they go ahead. Almost nobody argues with a number they already heard.

Who registers the equipment warranty, and does it go on the invoice?

Many manufacturers only give the longer parts warranty if the unit is registered within a set window after install, and plenty of installers do it for the customer as part of the job. Either way, put each unit’s model and serial on the invoice and a line saying whether you registered it, with the confirmation number if you did. Check each manufacturer’s terms, since windows and conditions differ.

How do I bill a leak search separately from the recharge?

Make them two lines. The leak search — electronic detector, dye, or a nitrogen pressure test — is labor plus any materials; the recharge is refrigerant by the pound. If the customer declines the leak repair and only wants a top-off, write that on the invoice. It explains why the system may need gas again next season. Repair rules vary by system size; check EPA guidance and your state’s.

Do I charge for recovering refrigerant from an old system?

Most contractors do, as its own line — recovery labor, plus a disposal or reclaim fee if you pay one — with the refrigerant type and pounds recovered noted. On a changeout it shows the customer the old gas was handled properly rather than vented. Federal rules require certified technicians and cover recordkeeping; check EPA’s Section 608 guidance and your state for what to record.

How do I itemize a full system changeout?

List the condenser or heat pump, the furnace or air handler, and the coil as separate lines with model numbers. Then the line set — reused or replaced — the pad, disconnect and whip, thermostat, drain work, permit, and haul-away of the old equipment. Startup and commissioning can be its own line. A customer comparing quotes, or a rebate program checking eligibility, can then see exactly which equipment went in.

What do I write on the invoice when I red-tag a furnace?

Name the hazard plainly — a cracked heat exchanger, a carbon monoxide reading, a venting problem — and record that you shut off the gas or the unit and told the customer. Bill the diagnostic normally. Then ask the customer to sign or initial that they were told. If they later relight it or call someone else, that signed line is your record. Local gas utilities and code officials set their own red-tag procedures.

Should I charge a second trip when the blower motor or board has to be ordered?

Many shops do, because motors, control boards and inducers are often model-specific and not on the truck. Bill the first visit’s diagnostic, then the return as its own line with the part and install labor. Tell the customer before you leave whether a second trip charge applies, and write the part number and expected arrival on the first invoice so the delay is on paper.
