Free invoice tracker
Every invoice you make here goes into one list, “My papers”, with its status beside it: sent, overdue or paid. Overdue invoices turn red on their own, and the button on each row is the next thing to do — mark it paid, or send a reminder. It is free and works without an account.
What the list does
- Lists every paper you make — invoices, estimates, quotes, receipts and the rest — with the customer, the number, the date and the amount.
- Shows a status on each one, and works out overdue from the due date so you never have to.
- Keeps a running total at the top of what is overdue, what is still out and waiting, and what has been paid.
- Puts the next action on each row: Mark paid, Send reminder, Turn into invoice for an estimate or quote the customer has said yes to, or Finish for a draft.
- Filters by All, Overdue, Waiting, Paid and Drafts, and searches by customer name or number.
- Groups papers by customer on the Customers page, so one person’s history is a tap away.
What each status means
| Status | What it means |
|---|---|
| Draft | Started and saved, not sent yet. |
| Sent | An invoice that has gone to the customer and is not due yet. |
| Waiting | An estimate, quote or other paper sent and waiting on the customer’s yes. |
| Overdue | An invoice past its due date. Shown in red, and worked out from the date — you never have to set it. |
| Paid | Marked as paid — by you from the list, or with the Pay button on the invoice’s link, which your customer can press too. |
Invoices made here are due 15 days after the invoice date, so one turns Overdue on day 16. There is no setting for different terms yet; if you agree Net 30 with a customer, the Net 30 calculator gives you the date to tell them.
Chasing an overdue invoice
Tap Send reminder on an overdue row and the send screen opens with the message already reworded as a reminder — the invoice number, the amount still open and the link to the invoice. Edit it if you want to, then pick WhatsApp, text, email or another app, and it goes from your own phone or account, so replies come straight back to you.
For what to say if the first reminder does not work, the guide to what to do about a past-due invoice has a timeline and three emails to copy, and the late fee calculator works out a fee if your terms include one.
With an account and without one
You do not need an account. Without one, your papers are kept for the browser you made them in, on that device — open the site on the same phone and they are there. Clear that browser’s cookies or switch phones, though, and that list is out of reach.
A free account fixes that. When you sign in, the papers already on your device move into the account, and from then on the same list is on your phone and your computer. It is optional, and nothing about the tracker changes when you have one.
What it does not do
- It sends no automatic reminders. Nothing goes to a customer unless you send it.
- It takes no payments. Marking an invoice paid is a record; the money comes by whatever method you gave the customer.
- It does not track part-payments. An invoice is unpaid or paid.
- It does not export to Excel or CSV. Each paper downloads as a PDF.
Looking for a spreadsheet?
This is not one. If what you want is rows to sort, filter and add up yourself, a spreadsheet is the better tool, and a simple one needs only these columns: invoice number, customer, job, date sent, amount, due date, date paid and status. The invoice number generator will fill the first column.
Questions about tracking invoices
Is the invoice tracker really free?
Yes. There is no paid tier, no limit on how many invoices you track and no card asked for. The tracker is the “My papers” list that every paper you make on this site already goes into, so there is nothing separate to sign up for.
How do I record that an invoice has been paid?
Tap Mark paid on the invoice’s row and it moves to Paid. If it has already gone overdue, the row’s button is Send reminder instead, so open the invoice from the list and use the Pay button on its page, which records it as paid. Either way it is a record only; no money moves through the site.
Can I export my invoices to Excel or a spreadsheet?
Not at the moment. Each paper downloads as a PDF, but there is no Excel or CSV export of the list. If you need the figures in a spreadsheet for your bookkeeper, you will have to copy them across by hand for now.
Will it remind my customers automatically when an invoice is late?
No. It flags the invoice as overdue and puts a Send reminder button on it, which opens a reminder message you can edit and send by WhatsApp, text or email. Nothing goes out unless you send it, so a customer never gets a chaser you did not mean to send.
