What to put on a mechanic receipt
A mechanic receipt identifies the vehicle — make, model, plate and mileage, plus the VIN for insurer or warranty work — then shows parts and labor on separate lines, the payment date and method, any deposit with the balance still owing, and what the warranty covers and for how long.
A receipt is not a smaller invoice. The invoice asked for the money; the receipt proves it arrived, and it is the document a customer comes back with a year later when something fails. That second job is the one most receipts are too thin to do.

The vehicle, not just the customer
Make, model, plate and mileage at the time of the work. A receipt with only a name on it is useless for a warranty claim, because the claim is about a car rather than a person, and the mileage is how anybody later works out whether a part failed early.
Add the VIN when the work is going anywhere near an insurer or a manufacturer warranty — that is the number they match on, and a plate can change hands.
Keep parts and labor on separate lines, even here
It is tempting to collapse a paid job into one total. Do not. A customer putting the cost through a business will be asked which part was which, and a customer claiming on a part warranty needs the part priced on its own with, ideally, its number.
It costs you nothing at the time and saves a phone call where you dig out a job card from four months ago.
How it was paid, and when
The date the money actually moved, and the method — cash, card, transfer. The date on a receipt is the payment date, not the invoice date, and on a job where those differ by three weeks, using the wrong one quietly breaks somebody’s bookkeeping.
Cash is the one that matters most. There is no bank record behind it, so the receipt is the only evidence either of you will ever have.
Deposits and part payments
If the customer has only paid some of it, say so. A receipt marked “paid in full” when half is still owing is the single worst document to have in circulation, and it is an easy mistake to make when you are reusing the invoice.
Mark a deposit as a deposit against the job, show the balance still outstanding underneath, and the paper tells the truth on its own without you remembering.
The warranty is part of the receipt
What is covered, parts or labor or both, and for how long. This is the one line that turns a receipt from a record into something the customer keeps on purpose, and it settles the “you said a year” conversation before it starts.
The small lines customers query most
Shop supplies, waste disposal and environmental fees are tiny numbers that generate a wildly disproportionate number of questions, because they are the lines nobody was quoted on the phone. If you charge them, name them. “Shop supplies” on its own line is a question answered; the same amount buried in an hourly rate is a question asked.
A core charge is the same thing in reverse. Show it, and show what comes back when the old part is returned, and the customer knows there is money waiting for them rather than finding out months later that there was.
Keep your copy
Small businesses are generally expected to hold records for several years, and the actual period is set by the IRS and by your state rather than by custom. Check what applies before you throw anything out — the cost of keeping a PDF is nothing, and the cost of not having one is whatever the dispute was worth.
Questions
Can a receipt and an invoice be the same document?
Stamping an invoice “paid” works for a simple job, but it muddles the dates — the invoice date and the payment date are different facts, and bookkeeping wants both. Two documents is cleaner and takes a few seconds.
Does the customer need a receipt if they paid by card?
Their statement shows a payment to you, not what it bought. For a warranty claim, an expense claim or a resale, the itemized receipt is the document that actually answers the question.
What if I need to issue a refund?
Issue a new document for the refund rather than editing the original receipt. The original was true when it was written, and a paper trail with two entries is far easier to explain than one that appears to have changed.
